When this can help

A practical question can require several searches across manuals, policy files, and product documentation. Even after finding an answer, the reader still needs to know whether it applies to the version or situation in front of them.

A knowledge assistant can help when a team has a defined collection of reference material and a recurring set of questions. Choosing and maintaining that material is part of the work. An assistant cannot make outdated or incomplete documents authoritative.

The assistant would look for the matching approved instructions and prepare a short answer with a link to the manual. If the version is unclear or the procedure is absent, the next step would be a clarification or a handoff, not an invented instruction.

What still needs a person

A citation helps someone inspect an answer; it does not guarantee the answer is correct. The workflow should respect source permissions and make uncertainty visible. Important actions still need to be checked against the actual situation and the team's approved procedure.

Can it use private documents?

Private sources can be considered when the hosting, access controls, and processing arrangements meet your requirements. Those decisions are made before documents are connected, not assumed from a public demonstration.

How is answer quality checked?

Use representative questions and review whether answers use the right source, apply to the stated context, and acknowledge missing information. Include questions the assistant should decline or pass to a person.
